Propose Changes to Existing Academic Programs

The curricular review process for changes to existing academic programs includes the following approvals after the proposal is first initiated in CourseLeaf's Program Management module:

  1. Department Chair or Head
  2. College Curriculum Committee
  3. College Dean
  4. Graduate Council (for graduate programs)
  5. University Curriculum Committee
  6. Faculty Senate

Certain program changes, listed below, require the approval of the Provost, NDUS Academic Affairs Council (AAC), and State Board of Higher Education (SBHE). These changes require an additional form to be completed and uploaded as a supporting document within the CourseLeaf proposal. Please upload the Word version (.docx) of the document to CourseLeaf. 

  1. Academic program inactivation/reactivation: Inactivating a program means that students will not be able to apply to that program or change their major to that program. Current students will be able to finish their program while a program is inactive. An inactive program remains in NDSU's academic portfolio. A program may be inactivated for up to 3 years then must be reactivated or terminated.
  2. Academic program termination: Terminating a program removes it from NDSU's academic portfolio. Students will not be able to complete a terminated program. Inactivation typically precedes termination.
  3. Academic program title or CIP change
  4. Delivery method change notice: Adding the option of distance delivery to an existing in-person, on-campus program is the most typical example of a delivery method change. 

The following changes require that NDSU's Accreditation Liaison Officer (Jeff Boyer) notify the Higher Learning Commission (NDSU's institutional accreditor):

  • A change to a program's delivery method
  • A change of 25% or more to the content of a program, either in a single change or as the sum total of aggregate changes, since the most recent accreditation review in 2015
Procedure for submitting proposals
  1. Open the CourseLeaf Program Management module. You will need to authenticate using your Bison Login.
  2. Use the search feature to locate the existing academic program, then click on the program within the table of search results.
  3. Click on the Edit Program button. An electronic form will open in a new window.
  4. Complete the proposal information in the electronic form using various drop-down fields, radio buttons, and text boxes.
    • Be sure to provide a thorough justification for the proposed change(s).
  5. Upload the appropriate completed form as a supporting document for any program changes that require approval from the Provost, NDUS AAC, and SBHE (see above).
  6. Upload any additional documents (for example, a letter of support from another department) that will be helpful as supporting documents.
  7. Click on the Save Changes button if you plan to return and make additional changes.
  8. Click on the Start Workflow button if the proposal is ready to begin the curricular review process.

Proposal initiators may access the CourseLeaf Program Management module at any time to see the workflow progress and approval path for the proposed program changes by completing the first 2 steps listed above. Workflow and approvals will appear on the right side of the CourseLeaf interface.
